Party Membership Officer job description
A part of the team
All Parties should appoint a designated Party Membership Officer (PMO). This could be the Party Secretary or a different member of the Party Council willing to undertake the role. All PMOs should have a valid Email address that is accessed regularly.
Specific Responsibilities
The PMO is responsible for making sure the membership details for their Party are up to date on the national database.
New Members
When a membership application is received by the membership office the details are entered on the national database.
The application is then forwarded to the relevant PMO who should then record the details of the new member and present them for approval at the next Party Council meeting.
The PMO should also:
- inform the membership office if an application is rejected
- forward the details of new members to the relevant branch (if applicable)
- make sure the branch includes the new member on their mailing list and invites them to branch meetings and local events
- ensure details of any new member who joins the Party locally are forward to the membership office to be entered on the national database.
- inform the membership office immediately if a member dies or resigns.
Annual Membership Cards
In the autumn, a print out of the membership list from the national database will be sent to the PMO for updating.
- The PMO should send these out to their branch secretaries and ask them to clearly mark any changes/deletions/additions and return the list to the membership office by the end of the year
- Annual membership cards are ordered at the beginning of the year and sent to the PMO in January.
- The PMO must send the cards to the branches by the end of January so that all members who renew their subscription are given a card
- If the cards can’t be passed on in person the PMO should post the cards to the branch secretaries.
- Cards should not be held back for any reason.
Direct Debits
The membership office will inform the PMO of any members applying to pay by direct debit during the year. The PMO must then make sure these members are given their annual membership card.

Annual Subscription Renewal
The PMO could either contact all Party members not on direct debit inviting them to renew their subscription or make sure this is done by their branch secretaries.
Any member who hasn’t renewed by the autumn should again be contacted with a reminder.
